Replace out-of-date technology with a flexible, adaptable solution. Make maintaining stakeholder relationships easier across the Sport Wellington team. Enable the ability to track participates in community initiatives and visualise data to display impact to funders.

Challenge

Sport Wellington is a regional sports trust which encourages the community to be physically active and healthy. Their mission is to promote life-long involvement in sport and active recreation through events, initiatives, and programmes across the greater Wellington Region.

Recently, Sport New Zealand became a major funding partner and brought additional resources to the trust. The opportunity to support more programmes and the ability to engage more stakeholders was exciting, but also highlighted the out-of-date technology Sport Wellington was using for their stakeholder management.

Sport Wellington's old Access database was run-down and costly to maintain. The data was inflexible, and it wasn't straightforward to extract useful insights about stakeholders. Sport Wellington had specific initiatives that needed CRM support to track, encourage, and communicate with participants about their well-being. The old Access database meant Sport Wellington staff had to spend more time trying to manipulate spreadsheets and less time promoting impactful initiatives.

Solution

When Magnetism presented Dynamics as a potential solution, they showed several workflows, exemplifying its flexibility. Sport Wellington was pleased with how Dynamics 365 would not only better their current bodies of work but also be easily adaptable for future programmes and initiatives. Sport Wellington engaged Magnetism to solve their out-dated technology problem and implement a Dynamics 365 solution that would answer both their stakeholder management and initiative tracking needs.

In terms of stakeholder management, Sport Wellington can now see interactions over time. Often, volunteers or employees within stakeholder groups wear multiple hats, so the new CRM allows Sport Wellington to track the movement between roles better and develop more meaningful relationships. Improved connections with stakeholders like councils and DHBs can facilitate Sport Wellington's mission of promoting physical activity within the community.

Through the CRM, Sport Wellington can also track the level of engagement stakeholders have with events and workshops. This information gives Sport Wellington more insight into what stakeholders are interested in and potentially which ones to reach out to in regards to different programmes.

In addition to collecting intelligence about a stakeholder group's employees and interests, the Dynamics 365 solution makes these insights more accessible to the broader Sport Wellington team. This has eliminated the extra administration time of asking a specific department for data. The Dynamics 365 solution has had a massive impact on one of Sport Wellington's popular initiatives, Green Prescription. In this free programme, individuals are referred by medical professionals and Sport Wellington pairs them with a health coach for advice on physical activity and nutrition. With the CRM solution Magnetism put in place, Sport Wellington can track a participant's journey over the 12-month programme and connect participant relationships. They have more insight into the number of referred participants on their waitlist, and can quickly see the capacity of their health coaches. These improvements have made the programme run more smoothly for Sport Wellington staff, health coaches and participants.

The Power BI integration with Dynamics 365 is a valuable tool for the Green Prescription team who can now generate visualisations with only a couple of clicks. Power BI makes tracking the mission of the initiative easier, and Sport Wellington can now see metrics on if participants are more active than before. The team can generate reports with data demonstrating a participant's improved health literacy. Easy access to this data is essential because, as a non-profit, Sport Wellington needs to show its impact on the community to funders.

Results

Sport Wellington has adopted the Dynamics 365 CRM across the team. The upgrade from their previously static Access system changed their daily workflows and brought more efficiency across the business. Less time spent on administration has meant Sport Wellington Staff have more opportunities to promote their initiatives within the community.

Now that Sport Wellington has a reliable CRM system, programmes like Green Prescription can be more productive. Sport Wellington can connect with participants and track data to show the impact they are having to founders. As a business, Sport Wellington is also more flexible. Dynamics 365 allows them to work from anywhere and access the documents and data they need from in the office or out in the field.
